Call for CML Advocacy Best Practice Poster Presentation Abstracts

This year's conference will include special poster session that will be held on Saturday 5th May at 17:00 to 18:00. We are inviting Horizon Participants to submit an abstract for poster presentation.
Poster presentations, are a great opportunity to interact with other CML Patient Organisations and showcase your organisation on a worldwide platform and share your activities and/or best practices.

The CML Advocacy Poster Area is a separate area inside the venue where CML Horizons 2018 participants can display a paper poster illustrating their CML patient advocacy activities, projects and outcomes. Posters will remain displayed throughout the conference in this allocated area. During CML Horizons conference, your poster will be shown and accessible by all conference participants and on Saturday 5th May we have a dedicated Poster Presentation session. This will require the delegate who has the poster to verbally present and talk through your project/activity/best practice. Please be sure to read through the attached Template & Guideline for Best Practice Poster Presentation Abstracts.

The aim of the Poster Presentation is to provide participants with the opportunity to share their key activities and learn from the initiatives and experience of other CML organisations from around the world in CML advocacy.

Win the Best Poster Award!

During the conference, there will be an opportunity to vote (once only per organisation) for the best poster and we will announce the winners on Sunday, 6th May.
So, we invite you to bring your poster to the conference and interact with the other delegates and illustrate your organisation. We will not be able to print the poster on spot, so bring your printed posters with you, please.

This is a great way to showcase your organization on a worldwide platform and share your activities.

How can I submit a poster?

It’s very simple participants who would like to display and present a poster in the CML Advocacy Poster Area are invited to create a poster using the template and guidelines below. Participants can use this poster template or can have their own design.

USEFUL TIPS FOR OBTAINING A VISA TO POLAND 

Poland is a member of the European Union. A Schengen-visa is required to enter the country.

Though we are doing our best to accelerate the approval of all visa, please do;

  1. not wait any longer and start applying for your visa NOW (all in all, obtaining a visa for Poland can take up to 90 days).
  2. make sure that you have valid travel documents!

Application for Scholarship / Conference Grant

CML Horizons 2018 will take place in Warsaw, Poland. All participants are expected to cover their own travel costs to Warsaw and to pay the conference fee which covers accommodation, local transportation from airport and back, food, drinks and the cost of the conference.

We encourage everyone to seek sponsors in early 2018 to cover the travel and conference costs. However, we acknowledge that not everybody is able to find an organisation or sponsor to participate in CML Horizons 2018.

Therefore, a limited number of 25 scholarships, full or partial, are available for patient advocates who are interested in attending the conference and who cannot find sponsors for their attendance. Applications for these scholarships are invited from interested advocates. Those that are granted will receive an economy class return ticket to Warsaw and will not need to pay the conference fee.

Eligibility criteria

To be eligible for a scholarship, candidates should:

  • Be a staff member or volunteer of an established CML patient organization that is a member of CML Advocates Network,
  • Be in a country where a local sponsor is unavailable to support attendance at the conference OR be an individual who is in the process of setting up a CML patient organization where regulations prohibit local sponsoring his/her attendance at the conference.
  • Hold a position where they can shape ongoing advocacy activities and initiate new ones
  • Be proficient in English
  • Preference will be given to applicants coming from countries with limited resources.

Scholarship types

We are offering two different types of scholarships, which will be given according to the needs of each applicant.

  • Full scholarship: This scholarship will cover both the flight costs and an exemption from the conference fee.
  • Partial scholarship: This scholarship will cover either the flight costs or the conference fee.

The CML Horizons Steering Committee members will review and prioritize all applications received. Applicants will be informed whether they will receive a grant and whether it is a full or partial grant, As soon as possible. Arrival and departure dates and times

Arrival date: Thursday 3rd May or Friday 4th May 2018

  • The official opening session will be at 09:00, to be on time for this session, your flight should arrive in Warsaw the latest by 07:00.
  • Travelling from the airport to the hotel will take you at least 30 minutes, depending on traffic. A shuttle service from the Airport to the hotel will be arranged (see below for details).

Departure date: Sunday,6th May 2018

  • Flights should not depart earlier than 16:30; in case you like to participate in the City Tour, then the flights should not depart before 21:00h

Visa

Please make sure that you have valid travel documents, and that you apply for visas early

 

Travel of patient advocates

Regular advocates and Pharma sponsors are expected to book and cover their own travel to Warsaw airport (e.g. flights).

A limited number of travel grants (scholarships) are available for some advocates who are unable to fund their own travel and the conference fee (see section on scholarships)

Transport from the airport to the conference venue will be provided for free.

After registration, please provide Vanja Muratovic from our logistics agency "Balkan-Adriatic " at email  with your travel details so we can arrange your local transport and accommodation accordingly. These details should be provided no later than 1 month before the meeting, or by April 6, 2018.

Travel of Steering Committee members, receivers of scholarships, and speakers

We will book flights for Steering Committee members, those receiving a travel grant from us, and speakers. Please do not book your own travel in these cases. Please indicate your preferences for departure day and time, which airport, an airline, etc. in the respective fields of the registration form. Also, provide your preferred return day and time. The travel agency will try to book your flights according to your preferences, taking also into account costs as our non-profit organization has a very limited budget. Please do this as soon as possible - we are a non-profit organisation and it is important we get the best available rates now - they are increasing every day closer to the conference.

Call for nominations for the upcoming elections of the CML Horizons Steering Committee

At CML Horizons 2015, the community elected its third global "CML Horizons Steering Committee", consisting of CML patient advocates from North America, Middle East and Africa, Western Europe, Latin America, Asia-Pacific and Central and Eastern Europe & West Asia regions.

Our Steering Committee is made up of expert CML Patient Advocates and Is intended to serve as a leading team member for the CML community by providing support and help to implement CML Horizons annual meetings, as well as other projects, lead by the CML Advocates Network. We would like to thank our current Steering Committee members for their contribution during the last 2 years which have helped us to grow to 114 members from across 85 countries all over the world and supported leading CML patient advocacy successful projects and initiatives.

The two-year term of the current CML Horizons Steering Committee is coming to an end at "CML Horizons 2017" in Frankfurt, and hence we would like to ask the community to nominate candidates for the upcoming elections. This is your opportunity to become an active and professional CML Patient Advocate and empower yourself as well as your region. If you feel you can contribute, please submit your nomination.

The CML Horizons Steering Committee consists of one elected representative from each of the six major regions:

  • North America
  • Latin America
  • Middle East & Africa

  • Central and Eastern Europe & West Asia

 plus the three CML Advocates Network founders as permanent committee members.

The nomination needs to state your motivation and contribution to the committee on behalf of your region, your history and vision as CML advocate, your English language skills, and whether you are willing to commit significant time for teleconferences, meetings and emails to bring the community and conference to the next level.

Elections on 27 May 2017

The elections will be held at CML Horizons in Frankfurt on Saturday 27 May 2017 in the afternoon. All nomination files will be provided to all members by 15 May 2017, to give everyone sufficient time to consider their vote. In addition, every candidate will present themselves on the afternoon of Friday 26 May 2017.

Every member organisation of the CML Advocates Network has one vote per seat at the elections. Even if there are 2 delegates from a specific organisation, they have only one vote. Each organisation votes for the nominees from all 6 regions. Email votes are not permitted. Only those organisations that participate in the conference in Frankfurt can take part in the voting.

City of Warsaw

Fusing the traditional with the contemporary and the desire to remember its history, Warsaw is fast becoming one of the world’s prime cities. Some little-known facts about this fascinating capital city are: The symbol for Warsaw is a mermaid, and mermaids are found on the city’s coat of arms and several statues around the capital. According to legend, a fisherman freed Warsaw’s mermaid from a rich merchant and she then declared her readiness to protect the city and its residents. Fans of classical music will enjoy the Chopin concerts on Sunday afternoons in Łazienki Park. Composer Fryderyk Chopin (later also known as Frédéric) was one of Warsaw’s most famous residents. Although he died in Paris in 1849, he wished for his heart to be buried in Warsaw. It is buried in the Holy Cross church on Krakowskie Przedmieście Street. Paradoxically, Warsaw’s Old Town is only 50 years old and is a listed Unesco World Heritage Site. One of the world’s first public libraries was opened in Warsaw in 1747 and Pałac Kultury i Nauki ‒ the Palace of Culture & Science ‒ is the tallest building in Poland and, at a height of almost 231 metres, is one of the world’s tallest clock towers.

Warsaw City Tour on Sunday

Warsaw is the sprawling capital of Poland. Its widely varied architecture reflects the city's long, turbulent history, from Gothic churches and neoclassical palaces to Soviet-era blocks and modern skyscrapers. The city's Old Town was restored after heavy damage during WWII. Its heart is Market Square, with pastel buildings and open-air cafes. The Monument of the Warsaw Mermaid at its centre is the city’s symbol.

For those interested, we will be offering an optional 3.5-hour tour of the city on Sunday afternoon. This will not be an official part of the program, and those who will like to join this tour will need to register at the registration website or at the hospitality desk at the hotel.

CML Horizons 2018 Conference fee for patient delegates

A conference fee of EUR 500 per delegate will be invoiced to the participant in the name of the Leukemia Patient Advocates Foundation, Switzerland, in advance of the meeting. The conference fee covers

  • max 4 nights of accommodation,
  • local transportation from Warsaw Chopin airport to the conference and back.
  • food and drinks (breakfast, lunch and dinner), during the conference.
  • Free wifi internet in conference rooms, and in bedrooms too.
  • general costs of the conference.

Participants are expected to cover their own travel to Warsaw Chopin airport (e.g. flights). The conference fee does not cover incidental costs like bar, mini-bar,  phone calls, taxi costs, upgrades for double rooms, relatives attending the conference, and any other non-official activities.

Payment of the conference fee must arrive before the start of the conference. It must also be paid in case of cancellations later than 30 days before the conference. The conference fee should be paid by wire transfer to the foundation. Should another postal address be required on the invoice for the conference fee, the delegate must provide a note during the electronic registration process, stating the full postal address and the name of the organization who will pay the conference fee.

Conference fee and travel costs for representatives of the sponsors

Sponsors' delegates are also expected to register at the registration website. Room bookings will then be made by the logistics agency. Pharma representatives are expected to settle their room costs at the hotel. We will organise their individual local transport to the conference venue if they provide us with their flight details at least two weeks before the conference. Costs for attending the conference, including the daily delegate rate and all meals, will be covered by us and will not be invoiced to pharma representatives.
