CML Horizons 2020 Conference fee for regular delegates
A conference fee of EUR 500 per delegate will be invoiced to the participant in the name of the Leukemia Patient Advocates Foundation, Switzerland, in advance of the meeting. The conference fee covers
- max 4 – 5 nights of accommodation,
- local transportation from Juan Santamaría International airport to the conference and back.
- food and drinks (breakfast, lunch and dinner), during the conference.
- Free wifi internet in conference rooms, and in bedrooms too.
- the general costs of the conference.
Participants are expected to cover their own travel to Juan Santamaría International airport (e.g. flights). The conference fee does not cover incidental costs like bar, mini-bar, phone calls, taxi costs, upgrades for double rooms, relatives attending the conference, and any other non-official activities.
Payment of the conference fee must arrive before the start of the conference. It must also be paid in case of cancellations no later than 30 days before the conference. The conference fee should be paid by wire transfer to the foundation. Should another postal address be required on the invoice for the conference fee, the delegate must provide a note during the electronic registration process, stating the full postal address and the name of the organization who will pay the conference fee.

Sponsor delegates participation
Sponsors' delegates are also expected to register at the registration website. Room bookings will then be made by our logistics agency. Pharma representatives are expected to book their own flights and settle their room charge at the hotel. We will organise their individual local transport to the conference venue if they provide us with their flight details at least two weeks before the conference. Costs for attending the conference, including the daily delegate rate and all meals, will be covered by us and will not be invoiced to pharma representatives.

Application for Scholarship / Conference Grant
We encourage everyone to seek sponsors in during 2019 and early 2020 to cover the travel and conference costs. However, we acknowledge that not everybody is able to find an organisation or sponsor to participate in CML Horizons 2020.
Therefore, a limited number of 40 scholarships, full or partial, are available for patient advocates who are interested in attending the conference and who cannot find sponsors for their attendance. Applications for these scholarships are invited from interested advocates. Those that are granted will receive an economy class return ticket to San José and will not need to pay the conference fee.
Eligibility criteria
To be eligible for a scholarship, candidates should:
- Be a staff member or volunteer of an established CML patient organization that is a member of CML Advocates Network,
- Be in a country where a local sponsor is unavailable to support attendance at the conference OR be an individual who is in the process of setting up a CML patient organization where regulations prohibit local sponsoring his/her attendance at the conference.
- Hold a position where they can shape ongoing advocacy activities and initiate new ones
- Be proficient in English
- Preference will be given to applicants coming from countries with limited resources.
Scholarship types
We are offering two different types of scholarships, which will be given according to the needs of each applicant.
- Full scholarship: This scholarship will cover both the flight costs and an exemption from the conference fee.
- Partial scholarship: This scholarship will cover either the flight costs or the conference fee.
Application procedure
Interested advocates should submit an application with the Attached Application form by 15th March 2020. Please email your application to Vanja at email: cml@balkan-adriatic.com
The CML Horizons Steering Committee members will review and prioritize all applications received. Applicants will be informed whether they will receive a grant and whether it is a full or partial grant, as soon as possible. According to our policy, there is a maximum of 1 scholarship per patients’ organization.

Call for Posters: CML Advocacy Poster Area at CML Horizons 2020
What is the CML Advocacy Poster Area?
The CML Advocacy Poster Area is a separate area inside the venue where CML Horizons 2020 participants can display a paper poster illustrating their CML patient advocacy activities, projects, and outcomes.
During CML Horizons 2020 conference, your poster will be shown and accessible by all conference participants and shared throughout our social media channels.
The aim of the Poster Area is to provide participants with the opportunity to share their key activities and learn from the initiatives and experiences of other CML organisations from around the world in CML advocacy.
Win the Best Poster Award!
During the conference, there will be an opportunity to vote (once only per organization) for the best poster and we will announce the winners on Sunday, 3rd May.
So, we invite you to bring your poster to the conference please note that we will not be able to print the poster on spot, so bring your printed posters with you, please.
This is an amazing opportunity to showcase your Organisations’ yearly activity or a special project that made an impact on the CML Community in your country on a worldwide platform and share your activities.
How can I submit a poster?
Participants who would like to display a poster in the CML Advocacy Poster Area are invited to create a poster using the template and recommendations below. Participants can use this poster template or can have their own design.

You can be as creative as you like or you can use our poster guideline and template, we have made for you. You can download this template HERE.

Arrival and departure dates and times
Arrival date: Thursday 30th April 2020
- The official opening session will be on Friday 1st May at 08:00, be on time for this session.
- Traveling from the airport to the hotel will take you at least 20 minutes, depending on traffic. A shuttle service from the Airport to the hotel will be arranged (see below for details).
Departure date: Monday 4th May 2020
This year because of the distance we are organising a full day tour on Monday 4th May 2020 if you plan to participate your flights should not depart before 21.00 or Tuesday 5th May. You must click “yes” in the registration form if you wish to be part of the tour.

Travel of patient advocates
Regular advocates and Pharma sponsors are expected to book and cover their own travel to Juan Santamaría International airport (e.g. flights).
A limited number of travel grants (scholarships) are available for some advocates who are unable to fund their own travel and the conference fee (see the section on scholarships))
Transport from the airport to the conference venue will be provided for free.
After registration, please provide Vanja Muratovic from our logistics agency "Balkan-Adriatic " at email cml@balkan-adriatic.com with your travel details so we can arrange your local transport and accommodation accordingly. These details should be provided no later than 1 month before the meeting.
Travel of Steering Committee members, receivers of scholarships, and speakers
We will book flights for Steering Committee members, those receiving a travel grant from us, and speakers. Please do not book your own travel in these cases. Please indicate your preferences for departure day and time, which airport, an airline, etc. in the respective fields of the registration form. Also, provide your preferred return day and time. The travel agency will try to book your flights according to your preferences, taking also into account costs as our non-profit organization has a very limited budget. Please do this as soon as possible - and it is important we get the best available rates as soon as possible - they increase every day closer to the conference.

Also please take note if your country is not listed in the below list of Costa Rican Consulates and Embassies and you cannot get to a neighboring country you will also need to make contact with Lidija at lidija@cmladvocates.net and she will assist you with your application.

Venue and Accommodation for CML Horizons 2020
San José is the capital of Costa Rica and found in the Central Valley. It has become a modern, cosmopolitan city and is presently home a third of the country’s entire population. Founded in 1738 by Cabildo de Leon, San José was not made the capital until 1823.
Today it is a sprawling metropolitan area that encompasses 44.62 sq km (17.2 sq mi) and a population of 365,799 people, which is roughly a third of Costa Rica's total population. San José is the economic center of Costa Rica, home to a rich culture, historic architecture, and an exciting night life.
Located in the Central Valley of Costa Rica, San José has an average elevation of 1,161 meters above sea level. Technically it lies in a torrid zone of tropical rainforest, but due to its elevation, it has a mild climate. Temperatures range from 15 and 30 °C (59 and 86 °F), but it is also very windy so it can be cooler.
The rainy season stretches from May to late November, but it isn't atypical for San José to experience rain and cloudiness during the dry season due to its elevation.
Within the city of San José there is a rich cultural history, including theaters and museums, and many bars and restaurants. With one block you can find two of Costa Rica's most famous theaters, the Teatro Nacional de Costa Rica and the Teatro Popular Melico Salazar, and a variety of musical performances, acting, and art exhibits.
The Gold Museum offers a rare collection of gold pre-Colombian artifacts from Latin American indigenous civilizations. The beautiful Lankester Botanical Garden is also located on the outskirts of the city.

USEFUL TIPS FOR OBTAINING A VISA TO PORTUGAL.
Portugal is a member of the European Union. A Schengen-visa is required to enter the country.
Though we are doing our best to accelerate the approval of all visa, please do;
- not wait any longer and start applying for your visa NOW (all in all, obtaining a visa for Portugal can take up to 90 days).
- make sure that you have valid travel documents!
On the official website of the https://www.vistos.mne.pt/en/short-stay-visas-schengen/general-information you will find all relevant information on the requirement of a visa. Please use the prompts on the right-hand side to navigate through about who needs a visa, how and where to apply. The website answers important questions such as:
- Types of Visa? (Short stay visa is what you need to click on)
- Who needs a visa?
- Where should you lodge a visa application?
- Documentation needed and Application forms?
Please remember that most of your questions can be answered at the Portuguese consular in your country or another Embassy that represents Portugal. This is listed in the section titled "Where should you lodge a visa application"
